We can backdate claims for up to 4 years. This will generate a significant income for the club.

How It Works - Volunteers
Volunteers can claim on any genuine out-of-pocket travel expenses while doing their volunteering role, including training, home matches, meetings etc.
The volunteer downloads the spreadsheet of the club’s events in the last 4 years and enters only 3 details per applicable row in the spreadsheet:

• If they drove to the event - yes/no
• If yes, if they had any passengers
• Their starting/home postcode

Once completed, the club will reimburse the volunteer. The volunteer then sends the same amount back to the club as a donation.
The club can claim Gift Aid on the donation, generating additional revenue for the club.

How It Works - Players
Senior players can claim travel expenses for away fixtures only (unless they act as a volunteer in which case the volunteer rules apply).
The senior player downloads the spreadsheet of the club’s away fixtures in the last 4 years and enters only 3 details per applicable row in the spreadsheet:

• If they drove to the event - yes/no
• If yes, if they had any passengers
• Their starting/home postcode

Once completed, the club will reimburse the senior player. The senior player then sends the same amount back to the club as a donation.
The club can claim Gift Aid on the donation, generating additional revenue for the club.

PLEASE NOTE - A parent or carer cannot make a claim if they drive a player.

Reimbursement and Gift Aid Donation
The club will process your mileage claim and reimburse you via a payment to your chosen bank account.
You then have the option to donate the reimbursement back to the club as a donation.
A club official will be in touch when your claim has been processed.

Gift Aid Declaration
Before the club can process the Gift Aid claim, you must complete the Gift Aid Declaration - Multiple Donations document (along with the completed travel expenses spreadsheet).

How to make a backdated claim

• Download the backdated Excel file listed at the bottom of the page (Volunteers download the volunteer spreadsheet, senior players download the senior player spreadsheet)
• Download and complete the Gift Aid Declaration Multiple Donations document
• In the spreadsheet, list all journeys you made for the club over the last 4-year period
• The backdated spreadsheets list fixtures stored on Pitchero. If a fixture, training session or club event is missing, please add it
• Once completed, use the upload link to upload the files
